DATA PROCESSING POLICY

IN ACCORDANCE WITH ART. 13 OF REGULATION (EU) 2016/679 ("GDPR")


Please find below information concerning the processing of your personal data carried out by Gi Group Holding S.p.A. for the fulfilment of the global meeting entitled “Global Business Meeting “ (hereinafter “the GBM”), which is managed by the Global Human Resources department for the purposes specified below.

DATA PROCESSED AND MANDATORY PROVISION OF DATA

Certain data are entered directly by the company such as, in particular, name and surname, e-mail address, company telephone numbers, company worked for and country (hereinafter "Mandatory Data")

Other data may be provided optionally by you (hereinafter "Optional Data") such as, in particular:

-        professional photos and videosdata entered by you through the publication of content or interaction with other users inin the specific section of the the company intranet GINET dedicated to the GBM.

Provision of the Mandatory Data is necessary in order to facilitate the organization and the participation in the GBM.

With regard to the Optional Data, it is up to you to decide whether or not to provide this information and, with regard to photos and videos,to publish them on GINET.

 

PURPOSES OF THE DATA PROCESSING. Why are your personal data processed?

In order to facilitate the organization and the participation in the GBM.

 

LEGAL BASIS. What condition must be met to ensure the lawfulness of the processing?

With regard to the processing of Mandatory Data, the purposes of the legitimate interests pursued by the Data Controller.

With regard to the processing of Optional Data, your consent must be given, expressed through conclusive action taken by you.

 

RETENTION PERIOD. How long do we retain your personal data?

For the entire duration of the work relationship.

With reference to the photos and videos that may be published on GINET, It remains understood that content shared by you and your interactions will remain on GINET for a further 12 months. With specific regard to the publication of content and interactions with other users in Workgroups, your shared content will remain on GINET for 24 months following deactivation of your profile.

 

Upon expiry of the retention periods indicated above, your personal data will be destroyed, erased or rendered anonymous in accordance with cancellation and backup procedures.

 

PERSONS AUTHORISED TO PROCESS THE DATA

Your personal data will be processed by personnel of the Global Human Resources department, the Marketing department and the General Services department, that deal with the organization of the GBM. Said personnel are expressly authorised to process this data and have received adequate instructions on how to do so.

 

DATA RECIPIENTS

Your personal data may also be processed, on behalf of the Company, by persons designated as Data Processors, which may include companies providing IT in order to fulfilment of the GBM, other companies providing IT, maintenance and technical development services, as well as general GINET management services.

 

RIGHTS OF THE DATA SUBJECT

Data subjects may exercise the rights set out in articles 15-22 of the GDPR and, in particular, request access to their data and to the information referred to in art. 15, the erasure of said data in the cases contemplated in art. 17, the rectification of incorrect data, the supplementation of incomplete data and restriction on processing in the cases contemplated in art. 18 of the GDPR.

It remains understood that you may directly and autonomously rectify or update the Optional Data by editing anything that you have published in GINET.

Furthermore, in cases where the processing is based on consent or on the contract and is carried out using automated tools, you have the right to data portability, in other words to receive the data in a structured, commonly-used and machine-readable format and, where technically feasible, to transmit those data to another controller without any hindrance.

In particular, you have the right to withdraw your consent in relation to the Optional Data, which may be expressed by directly and autonomously removing the published data.

At any time, you may submit a complaint to the Italian Data Protection Authority, as well as pursue recourse to other means of protection provided for by the applicable laws.
